OTICE OF MEETING
ANNUAL GENERAL MEETING
WEDNESDAY 8 DECEMBER 2021

AT 6:45PM FOR 7PM START
As per Clause 12 of the Constitution, the Brisbane Softball Association
hereby gives notice that the Annual General Meeting will be held at the
venue, date and time as stated above.
The business to be transacted at the Annual General Meeting includes but
is not limited to:
• receipt and confirmation of minutes of previous Annual General
Meeting;
• receipt of the annual report of the Association;
• receipt of the fully audited Balance Sheet and Financial Statements
together with the auditor's report for adoption;
• amendments or alterations to the Rules of the Association;
• election of the office bearers, Board of Management, Association
Patron/s and Auditor
This notice calls for:
• all interested persons over 18 years of age who wish to nominate for
an executive position or other position on the Board of Management to
send their authorised nomination on the attached forms to the Secretary
not less than fourteen (14) days (25th November) prior to the Annual
General Meeting
Please note that retiring members of the Management Committee shall be
eligible for re-election without any requirement that they be nominated
thereto but if a retiring member wishes to seek re-election that member
must notify the Secretary in writing not later than fourteen (14) days
prior to the Annual General Meeting. Should, at the commencement of the
Annual General Meeting, there be an insufficient number of candidates
nominated, nominations may be taken from the floor of the meeting only
with the consent of the Members present, eligible to vote and voting;
Voting Rights
• Each Management Committee member and each Delegate of an Affiliated
Club, and no other person, shall be entitled to one (1) vote at General
Meetings.
• No Delegate shall be entitled to vote at any General Meeting unless:
o the Secretary has been notified in writing prior to the meeting that
such person has been appointed the Delegate;
o the Affiliated Club has paid the membership fee for the 2020-21 year
as at the date of the meeting.

- Nomination form for office bearers (Executive) and Board of Management
(Non-Executive)
- Application for Membership to BSA with names of delegate attending and
proxy for voting rights.
You will notice that the nomination forms now contain brief position
descriptions. This is so nominees get an idea of the role and
expectation.
The Affiliation fee will be invoiced separately but must be paid prior
to the AGM if you're club is to have voting rights.
